Tool overload isn’t your fault—but it is your problem

AI has turned every platform into “a platform with AI.” That’s not helpful when you’re already managing a complex stack. The risk isn’t choosing a “bad tool.” The risk is adding tools without a selection framework—creating overlap, messy data flows, and low adoption.

Ask the right question: “Does this tool fit our system?”

A tool is only valuable if it strengthens a workflow you run weekly. Before you buy, define:

  4. Adoption reality — will the team actually use it weekly?

  5. Total cost — not just subscription; include implementation, training, maintenance

  6. Exit strategy — can you remove it without breaking governance and reporting?

Implementation rule: prove value fast

Pilot with constraints: one workflow, one owner, one success metric, and a hard review point. If it doesn’t show value quickly, kill it. This is how stacks stay lean.
